Job Title: Medical Assistant – Women’s Health / Gynecology Practice
Practice: United Medical Doctors, with Dr. Chandra Spring-Robinson, DO, FACOG
Locations: La Jolla & Encinitas, Murrieta (once a month)
ABOUT THE PRACTICE
Led by Dr. Chandra Spring-Robinson, a board-certified gynecologic surgeon and regional leader in robotic-assisted excision of endometriosis, our practice is redefining women’s healthcare in Southern California. We specialize in complex GYN surgery, advanced diagnostics, and fertility-preserving treatment for endometriosis, fibroids, and pelvic pain—while also offering comprehensive general gynecology.
Our clinics combine advanced surgical expertise with compassionate, full-spectrum women’s health services in a high-volume, referral-based environment. Team members join a collaborative group of providers dedicated to patient advocacy and innovation in women’s health.
POSITION SUMMARY
We are seeking a Medical Assistant who is detail-oriented, compassionate, and thrives in a fast-paced, high-volume specialty practice. The ideal candidate will bring strong communication skills, teamwork, and professionalism to a dynamic clinical environment.
KEY RESPONSIBILITIES
Clinical Duties
- Prepare patients for exams, procedures, and consultations — ensuring comfort and privacy throughout the visit.
- Record and update patient medical histories, vital signs, and intake documentation in the EMR (gGastro).
- Assist with gynecologic procedures such as Pap smears, biopsies, IUD placements, hysteroscopy setup, and post-operative wound checks.
- Prepare exam rooms, sterilize instruments, and ensure proper room turnover between patients.
- Support providers during exams and in-office procedures as needed.
- Manage specimen collection, labeling, and submission to the appropriate lab.
- Maintain stock and organization of clinical supplies and equipment.
Administrative Duties
- Serve as part of the reception and patient communication team, managing incoming phone calls and voicemails via RingCentral with professionalism, compassion, and discretion.
- Act as a front-line point of contact for patient scheduling, logistics, and general inquiries.
- Triage calls and messages according to medical necessity or need for provider input (e.g., clinical questions, post-operative concerns, or medication-related issues).
- Monitor and process the practice’s email inbox and incoming faxes, ensuring documents and communications are routed promptly to the correct provider, team member, or chart.
- Record key details from patient calls or voicemails that require provider review and ensure they are entered accurately into the EMR or routed to the appropriate inbox.
- Monitor voicemail, fax, and message queues to ensure timely follow-up within 24 hours for all clinical-related items.
- Assist the provider team in reviewing refill requests, lab results, and patient portal messages, escalating as appropriate.
- Maintain clear communication with the Practice Manager and provider team to ensure smooth operations and a consistent patient experience.
- Call and message volume can vary and at times become high-intensity; this role requires the ability to stay calm, organized, and empathetic under pressure.
Team Support & Coordination
- Work closely with PAs, NPs, and Dr. Spring-Robinson to ensure seamless patient care.
- Communicate effectively with staff, referring offices, and outside facilities.
- Participate in team huddles, case reviews, and staff meetings to improve workflow and patient experience.
- Assist in maintaining compliance with HIPAA, OSHA, and infection control standards.
QUALIFICATIONS
- Certification: Certified Medical Assistant (CMA), Registered Medical Assistant (RMA), or equivalent preferred.
- Experience: Minimum 1–2 years of experience in women’s health, gynecology, or OB/GYN preferred.
- Technical Skills: EMR experience (gGastro or similar required). Strong computer, scheduling, and phone system skills (RingCentral experience a plus).
- Soft Skills: Compassionate and patient-focused. Excellent communication and multitasking ability. Team-oriented with a proactive mindset.
Schedule
- Full-time position.
- Monday – Friday, typically 8:00 AM – 5:00 PM (occasional extended hours based on practice needs).
- Primary locations: La Jolla and Encinitas (with occasional coverage in Murrieta if needed).
